The Selection procedure

The Selection of applications is carried out in three steps (with a possible intermediate step between Steps 1 and 2 or Steps 2 and 3):

Step 1 (Home Institution):

  • Home Institutions will perform an initial eligibility check of applicants as outlined by EACEA guidelines.
  • Applications which pass the initial eligibility check will be reviewed and scored by the Home Institution. This score will correspond to one third (1/3) of the final score. (The selection criteria are listed below)
  • These applications will be forwarded to their listed potential Host Institutions for review.

 Step 2 (Host Institution):

  • Each Host Institution will review and score the applications forwarded to it according to the same set of criteria. This scoring will correspond to two thirds (2/3) of the final score.
  • Applications will be forwarded to the Selection Committee

Potential Interim Step: 

  • Shortlisted applicants may be contacted by either the Home or the Host Institution for an interview. Remote communication means (e.g. skype) may be used for this purpose.

Please note that this is not a necessary step. There is no need to worry about either receiving or not receiving an invitation for an interview.

Step 3 (Selection Committee): 

  • The Selection Committee, consisting of delegates of the Coordinating and the Co-coordinating Institution as well as delegates of two EU and two Third Country institutions, will meet to perform the final review of applications and scorings from the Home and Host Institutions and determine who will receive scholarships.
  • Notification will be sent by the Selection Committee to scholarship recipients via e-mail.

For the third cohort (scholarships for 2016-17) the Selection Committee meeting will take place early in 2016 and notifications will follow soon after.

After the selection notification

  • Successful candidates must notify the Selection Committee via e-mail of their acceptance of the grant within three weeks of the sending date of the notification e-mail. A lack of response after this period will be understood as a refusal of the scholarship.
  • As soon as the notification of acceptance is received, successful applicants will be provided with further information, guidance and help with the Visa application process.
  • Unsuccessful candidates will also receive a notification e-mail. They will be able to appeal and/or request justification for the rejection of their applications within one (1) week  of the sending date of the notification e-mail and will receive a reply within a fortnight (2 weeks).

(Students will be able to request copies of their evaluations by the Home/Host institutions.)

Please note that in oder to determine the final list of successful applicants the Selection Committee will have to take into account additional factors. It must ensure a fair distribution of mobilities from and to the participating institutions as well as the representation of regional institutions and of the three Target Groups. In the event of a tie between applicants, the Selection Committee will also address the cross-cutting issues outlined in the Erasmus Mundus Programme Guide.
